There are a huge number of features within the nettTracker fixed asset register module. This guide is intended to help you understand some of the more subtle tools on offer.

Settings for configuring your Fixed Asset Register

  • Depreciation methodology: ‘In-year’ provides full year of depreciation regardless of acquisition date and ‘by-month’ starts with full month of depreciation from month of purchase.

  • Calculation resolution: Depreciation calculation can be based on each month, or ‘daily’ being the number of days within each month.

  • Enable tax depreciation: Choose to track tax depreciation separately from book depreciation within the same file.

  • Separate disposal mappings: Select if different accounts should be used when assets are disposed to ensure journal entries are created as expected.

  • Year end journal entries required?: Choose if journals to reflect annual movements are required as part of the ‘year-end’ process.

  • Create unlimited book depreciation rules: Straight line (select number of years or months), reducing/declining balance, double decline, section 179, no reduction (for land). nettTracker is constantly being updated. Please ask if a specific depreciation method you require is not listed.

  • Create unlimited asset groups: Plant and Machinery, Motor Vehicles, Furniture, Property - create as many groups as you require and name them as you wish.

  • Automation settings (optional): Asset detection, asset creation, use of asset references with selected prefix

  • Provider tracking options: A ‘general’ company setting which means that depreciation journals can also be split by Class/Location (QuickBooks Online), Tracking Categories (Xero), Cost Centres/Departments (Sage)

  • Automated journal entries: A ‘general’ company setting which allows the depreciation journals to automatically post each month (recommended). If assets purchases missed, simply created and manually run ‘period-end’ to update and posted required values.

  • Perpetual financial year: It’s recommended this ‘Financial Year’ setting is in place. The financial year will automatically roll forward to the next after the last month of the year is processed. Assets can be added/edited retrospectively so no disruption to ‘monthly’ reporting.

Creating & Managing Assets

Creating new assets

  • Import template available: Use our easy to use import template to create your opening fixed asset register values based on the purchase cost and accumulated depreciation from the previous financial year.

  • Automate additions to the asset register: Based on ‘Settings’ including value threshold.

  • Create assets manually: Select option to create an asset and complete all fields as required (only recommended for ‘Stand-Alone’)

  • Import asset purchases using Excel template: If dealing with large volumes, often easier to use the import tool available.

  • Create assets from ‘Transactions’: Based on asset group mappings, transactions detected and assets created using the required dates, values, asset group.

  • Create a ‘Kit’ (to split): Select a single asset purchase and split into multiple items by % or value - ideal for partial disposals of assets

  • Create a ‘Kit’ (to group): Create a ‘Kit’ and then choose the assets that should be added to the kit. Ideal when assets are ‘built’ or deposits paid. Leaving it possible to view all the separate payments that contributed to the asset purchase. Or to use to group assets separately within an asset group.

  • Automated depreciation calculations: For every asset with a net book value, depreciation is calculated and a forecast for the life of the asset.

  • Option to defer depreciation: When an asset is purchased, the option to defer depreciation can be selected. An asset may not be fully commissioned for several months since the date of purchase, so you can choose to ‘start depreciation’ whenever you need to.

  • Set salvage values: A fixed asset will not depreciate below the salvage value when in place.

Existing assets.

  • General editing: Easy to change asset names, references, and additional tracking categories at any time. Asset values, purchase date, and ‘groups’ connected to the transaction are protected and cannot be changed to help ensure the balance sheet keeps in check.

  • Change method of depreciation at any time: If a depreciation method is changed, the projected depreciation will recalculate, and the asset will continue to depreciate over its remaining useful life, based on the current net book value.

  • Easy to use disposal routine: Assets that have been sold, or have reached the end of their useful life that are scrapped can be easily marked as disposed. All of the journal entries required to update the balance sheet are made for you. The gain/loss on the sale of an asset is calculated and recorded in the fixed asset register.

  • Reverse disposal: If you’ve marked the wrong asset as disposed, no problem. Simply choose the option to ‘Reverse disposal’, and all of the accounting entries made when the asset was disposed will be reversed for you, and the asset will appear as it did before.

  • Delete assets: Where any asset has been added to the asset register in error, simply delete the asset. If any depreciation journals have been raised, all will be reversed if selected.

  • Changes to accounting transactions detected: If a transaction used to create a fixed asset is changed in the accounting software, it is flagged as ‘modified’. Perhaps the value or category has been edited, nettTracker will alert you to this change, giving you the option to update or remove the asset. Again, all necessary journal entries will be made to help ensure the fixed asset register reconciles to the balance sheet.

  • Edit depreciation value: Depreciation against an asset can be edited manually at any time. Initially the entry will be in a ‘draft’ status, and once the period end is processed, the asset is updated, and any required journal entries are posted.

Advanced features

Downloadable reports

  • Asset register: Download the full asset register for any desired date range. All assets, and asset groups will appear on a single tab of an Excel file and will provided brought forward (accumulated) values, movements in the period, and totals. Including disposals values and gains/losses on sale of assets.

  • Depreciation forecast: Downloaded the projected depreciation for each asset for any period up to the next five years. Values are displayed month by month which could be for a single month or up to 60 months.

  • Tax depreciation forecast: Tax depreciation calculations are based on an annual basis. The forecast can be downloaded for up to the next 5 years.

Visual guides

  • Dashboard summary to assist with reconciliations: Values on the nettTracker dashboard display the total values of assets per the fixed asset register, and the value of assets held per the balance sheet. Both of these values should agree.

  • Asset summary: This displays the total values per asset group, including the movements within the period selected.

  • Asset register: Displays a detailed lit of all assets held, split by asset group. This will also reflected all movements within the period selected. Additions, depreciation, disposals.

  • List assets: This view will display all assets and can be filtered to show; assets no longer depreciating, assets disposed, assets deleted, and any assets that could possibly be in an ‘erroneous’ state.

  • Depreciation forecast: View the forecast of depreciation for up to the next five years for each asset group.

  • View asset details: Selecting an asset from the asset register will allow you to view all details, current value of asset, and all projected depreciation postings for the rest of the asset’s useful life.

Other features

  • Unlimited assets: Currently there is no limit to the amount of assets that can be added to nettTracker.‍ ‍However, nettTracker operates a fair usage policy. Standard pricing is based on up to 2,500 assets per asset register (per company file). If a single company file requires more than 2,500 please contact us to ensure that you are being charged appropriately.

  • Unlimited users: Accounting firms can invite all team members to have access to the client files as desired. Clients can also be given access to the company file. Business users have the same functionality as accounting firms. For example, all employees in the finance team could be granted access to a nettTracker company.

  • Multiple companies / asset registers: For accountants that assist clients, or for businesses within a group structure, adding further companies to a subscription reduces the average cost per company considerably. All companies are accessed from one log-in.
